Overview

Open Table Inc. seeks a highly skilled executive Director to lead our 33-year-old non-profit organization whose mission is to end hunger in the local community by providing healthy food in ways that respect the dignity and diversity of those served.  Located in Maynard, MA, Open Table serves 21 communities in MetroWest.  Open Table offers a wide variety of healthy and culturally appropriate groceries and prepared meals at our main facility and through several mobile pantries and delivery programs.

The Position

Reporting to the Board of Directors, the Executive Director will provide vision and dynamic leadership to a growing non-profit as well as supervisory oversight for a staff of 13 and over 500 volunteers.  The Executive Director oversees the strategic and operational efficiency of our programs and staff and will help define the role of the new 3,000 square foot warehouse. Understanding of the population and community we serve is critical to success.

The successful candidate will need to be flexible in the ever-changing landscape of food insecurity.  Above all, s/he/they will be comfortable in a leadership role that demands clear communication and decisiveness.

Responsibilities

The Executive Director will:

  • Work closely with the Board of Directors to create strategic and business plans for the attainment of objectives
  • Build and lead a culturally diverse effective team and work collaboratively with the clientele and community to fulfill the organization’s mission
  • Meet aggressive annual fundraising goals, in partnership with the Board of Directors, securing financial support from foundations, corporations, individuals, and government funding sources, and events
  • Oversee all external communication materials including, website, marketing materials, newsletters, and social media content
  • Serve as the face of the organization and actively participate in external events, both increasing visibility, credibility, and brand in the community, and also developing strategic partnerships in order to expand the organization’s program to new communities

  • Bachelor’s degree, advanced degree / MBA preferred
  • 7+ years of senior management experience, preferably with a nonprofit

Overview

Be part of the team at Open Table in Maynard, Massachusetts!  We are looking for an assistant to our program manager to help us address hunger in our local community.  Our mission is to provide healthy food in a welcoming environment that respects the dignity and diversity of those served.  You will assist our program manager in various aspects of our onsite and mobile pantry program.

You must be able to work in person at our site in Maynard, and must be available to work Monday 9am-4pm, Tuesday 11am-7pm, Wednesday 12pm-4pm, and Thursday 11am-5pm (25 hours total).  There may possibly be up to 5 additional flex hours per week based on our program needs.

Responsibilities

  • Logistics and Administration
    • Assists the Program Manager in various aspects of our onsite and mobile pantry programs.
    • Manages logistical support for programs including:
      • Administrative support for partners
      • Assuring all resources scheduled and available including volunteers, food, transportation
      • Trains and manages volunteers.
      • Coordinates with the Operations/Facilities Manager for food procurement, storage, and outbound delivery.
      • Monitors accurate and timely recording of key performance metrics.

    Client Support and Outreach

    • Client Support
      • Responds to client inquiries as to Open Table Programs what’s available and how to access.
      • Receives feedback from clients and brings this to various staff attention
      • Provides referrals for non-food resources
      • Makes clients aware of other programs and resources that they may qualify for
      • Assists clients in signing up for SNAP benefits
    • Outreach
      • Creatively finds way to make potential clients aware of Open Table programs
      • Works with community advocates, governmental and nonprofit organizations to identify and connect clients to Open Table programs

      • Ensures materials and listings are all up to date and properly available in several languages

Overview

Open Table is looking for an outgoing, communicative, and organized Chef Kitchen Manager to lead our kitchen. We need an experienced professional who can lead Open Table’s transition from a community meal host to producing a high volume of high quality nutritious meals to people in need. To accomplish this, we operate a kitchen with help of paid staff and volunteers with varying degrees of culinary experience. Must have extensive supervision experience to lead staff and volunteer cooking teams to produce client meals during established shifts.

Open Table is a highly regarded food relief organization with over 35 years of experience supporting the Metrowest Boston Community with healthy food for those in need. We have received state and national recognition for our service learning opportunities as well as our on-line ordering system to bring client choice to those in need. We have a GuideStar Platinum Seal of Transparency which ensures best financial practices are being met. Having started out as a simple community dinner program in a church hall, we are now a high volume, well equipped commercial kitchen, currently producing 800-1000 meals a week for those in need, including seniors and people with special dietary and/or cultural needs. With our outreach to communities in need and our forging of partnerships to distribute food, our volume and offerings of meals will continue to rise and we will be ready to serve with excellent strategic leadership.

Qualifications / Requirements

  • Minimum of 5 years culinary experience, including cooking in a commercial kitchen/restaurant, menu development, food purchase, inventory and equipment management, and adhering to health code and safety requirements.
  • Experience in scheduling, supervising, and managing staff (ideally, paid staff and volunteers).
  • Current ServSafe Manager and Allergen Certifications.
  • Working knowledge of local, state and federal health and safety codes.
  • Working knowledge of computers and basic knowledge of MS products (i.e., Word, Excel, etc.). Experience and knowledge of food industry software is a plus.
  • Physical ability to lift 30 and to stand during the entire shift(s).
  • Ability to work interdependently as a member of a management team.

Specific Job Duties

Cooking

    • Cook professionally to fill the skill gap of food preparation by volunteer cooking teams.
    • Develop menus, food purchase/sourcing, specifications, and recipes in line with the Open Table mission and in consultation with the Program team.
    • Maintain highest professional food quality, packaging/labeling and sanitation standards.
    • Lead planning and execution of kitchen functions to meet the daily needs of the operation.

Supervision

    • Ensure on a daily basis that the kitchen is staffed appropriately by preparing, assigning, and delegating responsibilities for the operation of the kitchen.
    • Supervise kitchen staff and volunteers in carrying out their daily functions.
    • Ensure safety of team members (staff & volunteers), actively promoting safe work habits and a safe working environment at all times by example and by instruction.
    • Foster and sustain the morale of staff and volunteer cooking teams to ensure a positive relationship between healthy work climate and healthy food preparation.

Budgetary & Inventory Management

    • Develop and monitor food, equipment and labor budget for the kitchen.
    • Monitor inventory, purchase, and controls; food budget and costs; and product quality.
    • Ensure monthly inventories are conducted either directly or by your delegation.
    • Implement effective controls of food and labor costs to ensure efficient operation and expenditures stay within budget limitations.
    • Implement finished meals inventory plan with FIFO principles in partnership with the Program and Operations Teams.
    • Monitor inventory of food and supplies to ensure we are meeting requirements in all areas.

Facilities and Equipment Management

    • Ensures on a daily basis that the kitchen is clean, inventory levels are appropriate, and equipment is working properly
    • Establish and maintain a regular cleaning and maintenance schedule for all kitchen areas and equipment.
    • Ensure safety and cleanliness of facility and equipment.
    • Keep storerooms, refrigerator, and freezer organized.

Policy Adherence and Development

    • Ensure compliance with all applicable regulatory agencies’ policies and procedures that relate to food, (local, state and federal laws and regulations).
    • Maintain compliance with and contribute to Open Table’s policies and standards of operation procedures.
    • Develop and continually update policies and procedures to enhance and measure quality, and reflect techniques, equipment, and terminology.
    • Ensure on a daily basis that all products are prepared and presented in accordance with Open Table’s brand, vision and mission.

Implementation of Open Table’s Mission (Customer Service)

    • Serve as an Open Table mission ambassador in the broader community and within Open Table’s community of volunteers, clients, and staff.
    • Actively link to volunteer cooking teams the mission to end hunger through the daily work provided in our kitchen.
    • Periodically meet with clients and the Program Team to solicit feedback and comments.
    • Consider solicited and unsolicited client feedback, and how best to incorporate this into production of prepared meals.

    • Primary Schedule: 8:00 AM – 5:00 PM Monday – Friday (May require some weekends)

Open Table (OT) is seeking applicants with a willingness to learn and work hard to create a great summer experience for the internship program. This position will manage the OT internship program employing 6 volunteer high-school age interns for each of four, two-week sessions. Applicant is high-energy, extrovert with interest in non-profit work and shares OTs passion for ending food insecurity in ways that respect the dignity and diversity of those served. A commitment to quality programming, attention to safety, empathy, and self-awareness is a must. The internship manager is someone who will work hard, have fun, and is a positive role model for the interns. 

The internship manager is responsible for planning, coordinating, and safely guiding interns in their daily activities, connecting their work to the mission of OT, and personal growth. The ideal candidate will further develop the intern program and implement high quality programming, utilizing best practices as developed through the OT program.

  • Managing and leading student intern program at OT pantry. 
  • Overseeing and integrating student interns into pantry operations. 
  • Liaising with organization managers to place and schedule interns. 
  • Developing a service learning program including educational materials and manager presentations.

  • Must work in-person at our Maynard facility to share coverage of established kitchen shifts and attend a weekly virtual meeting.

This position will support Afghan and Brazilian cultural needs as reflected in our pantry and meal programs.  Great fit for students interested in public health, social justice, nutrition. Or for those seeking a “returnship” after taking a career break for personal, family or health reasons. Interns will be provided training if required (such as ServSafe and COVID trauma training), and will have opportunities to show initiative:  past interns have been essential to planning and executing new mobile programming at Open Table with focusing on both the operations and programmatic aspects of the organization. Interns may pursue an in-depth project that most aligns with their interests and/or career objectives.

Responsibilities include but may not be limited to:

  • Assist the Program Manager in various aspects of our onsite and mobile pantry programs including program evaluation
  • Coordinates with the Operations/Facilities Manager for food procurement, storage, and outbound delivery.
  • Assist in training and managing volunteers.
  • Work with staff to set up optimal operational structures to improve efficiency of food storage and distribution.  Working with the “one-touch” philosophy of food management.

Open Table is seeking a Program Manager (PM) who will be the forward face of the organization.

Reporting to the Executive Director, the Program Manager provides general supervision to volunteers. The PM will work in collaboration with senior level volunteers to provide guest services and programs in order to carry out the mission.

Duties and Responsibilities:

  • Supervises the daily operation of the pantry and community meals.
  • Supervises the recruitment, appointment, training, assignment and scheduling of all volunteer positions.
  • Works with volunteers to assess program and mission alignment.
  • Plans and manages volunteer appreciation activities (large events).

Education and Experience Preferences:

  • MSW, Masters in Public Health, Administrative, social work, public health
  • 5 years’ experience in managing volunteers a plus.
  • Exceptional communication skills including speaking, listening and writing.

  • Excellent organizational skills and attention to detail.

  • Develop and update administrative systems to make them more efficient

  • Maintain the Open Table website and Statistics for the organization.

  • Develop and maintain a filing system for: Documents needed by the organization for weekly work for operations teams. Filing system for all audit materials.

  • Develop administrative staff by creating roles for volunteer support staff and oversee the team of volunteers needed to do development and communications admin work.

Procurement, Pantry Set Up & Inventory Management

  • Determine inventory requirements to fulfill Open Table’s mission and the needs of guests
  • Set capacity constraints and advise the ED when close to capacity.
  • Work within budget and track of expenditures related to food procurement and/or other expenses.
  • Oversee transportation logistics for food procurement (GBFB, vendor pickup/drop-off, farm pickup drop-off) to ensure orders are fulfilled and delivered.
  • Place GBFB orders each week and provide required reports; manage this relationship.
  • Select and utilize vendors for non-GBFB items and manage these relationships.
  • Select and oversee seasonal farm vendors and adjust for these donations.
  • Coordinate community donations and integration of these into pantry inventory and/or other programs.
  • Track and report inventory to facilitate ordering, utilization of vendors and reports that correlate inventory to the number of households served and food distributed.
  • Investigate and launch food reclamation / food use programs (i.e., blanch and freeze of vegetables or our own products) or other options to reduce food waste.
  • Provide strategic recommendations related to procurement, pantry set-up and inventory based upon the needs and goals of the organization.
  • Assist the ED related to acquisition of grants, as needed.

Pantry Operations

  • Determine job definition and shifts needed for each part of the operation based upon Open Table’s current pantry schedule. Assess and recommend the number and type of volunteers needed. This includes use of individual volunteers as well as groups.
  • Assess the current volunteer pool for so that volunteers who are ideal for pantry operations are identified, engaged, placed and retained.
  • Ensure that the daily schedules for all shifts are filled. Utilize volunteer resources and technology resources to do so and/or new ones as they are developed so that the operation is running smoothly.
  • Provide volunteer recruitment needs to the appropriate individuals to acquire new volunteers, refresh the volunteer pool and/or fill “hot jobs.â€

Management of Transportation, Set Up & Distribution Teams

  • Create a volunteer-staffed organizational framework in pantry operations that is sustainable and meets the needs of the organization, its guests, and the volunteers.
  • Provide leadership, training and direction to all. Provide and encourage communications while fostering a culture of camaraderie, goodwill and gratitude.

Desired Minimum Qualifications:

  • High school diploma or equivalent (GED) plus a minimum of 3 years related work experience
  • Ability to lift and stand for several hours at a time
  • Experience working with people from diverse backgrounds
  • Ability to be assertive when needed, courteous and well-organized
  • Ability to handle multiple tasks simultaneously
  • Ability to work independently with minimum supervision
  • ServSafe Manager certified or must successfully complete this certification training within 90 days from employment date
  • Must possess knowledge of Microsoft applications and be computer literate
  • Knowledge of and/or experience in warehousing and distribution for a food service operation that also includes a customer service delivery model.

  • Pick up large quantities of donated food items from local retail stores, Greater Boston Food Bank, and seasonal food drives, checking order for accuracy
  • Work with volunteers to unload truckloads of donated/purchased items in organized and efficient way
  • Place food items into proper locations in dry inventory, refrigerators and walk-in refrigeration units
  • Adhere to Board of Health policies in transporting and storing perishable food
  • Restock food pantry as needed within scheduled hours with some flexibility to accommodate unexpected volunteer absences
  • Support Directory of Pantry Operations in inventory organization and rotation of food items
  • Take on other local pickups, drop-offs, and purchases as instructed by Director of Pantry Operations.
  • Assist with general cleaning and upkeep of truck, pantry and food storage areas
  • Adhere to the Open Table Security Plan and Procedures
